Bookings Management

Overview

The Bookings page shows all customer bookings for your events. You can track bookings, manage status, and handle payments from this page.

Viewing Bookings

All bookings appear in a table showing:

  • Code - Unique booking identifier
  • Customer - Who made the booking
  • Event - Which event they booked
  • Date Booked - When they made the booking
  • Status - Current booking state
  • Amount - How much they paid

Searching & Filtering

  • Search - Find bookings by customer name or event name
  • Filter by Event - Show only bookings for a specific event
  • Sort - Click column headers to sort (newest first by default)

Booking Status

Bookings go through these statuses:

StatusMeaning
Not ConfirmedBooking created but not yet confirmed
ConfirmedBusiness has confirmed the booking
Under ProcessBooking is being processed
UnpaidBooking confirmed but payment not received
PaidPayment received and booking complete
CancelledBooking has been cancelled

Managing Individual Bookings

Click the View button for a booking to:

  • See full booking details
  • Update the booking status
  • Generate an invoice
  • View customer information
  • See payment status

Changing Booking Status

  1. Click View on the booking
  2. Change the status from the dropdown
  3. Click Save
  4. Status updates and table refreshes

Payment Status

  • Paid - Customer has paid
  • Unpaid - Awaiting payment

If a customer hasn't paid, you can send them a reminder or mark as paid once you receive payment through another method.

Actions

Each booking has quick action buttons:

  • View - See booking details
  • Update - Change booking status or information
  • Invoice - Generate PDF invoice
  • Copy Link - Share booking details with customer

Tips

  • Regularly check for unpaid bookings
  • Confirm bookings before the event date
  • Use filters to focus on specific events
  • Generate invoices for record-keeping

Invoice Generation

Process:

  1. Click invoice icon for a booking
  2. System generates PDF invoice
  3. Invoice downloads automatically
  4. Invoice includes:
    • Booking details
    • Customer information
    • Event details
    • Payment information
    • Business information

Business Rules

Booking Creation

  • Bookings are created by customers when they register for events
  • Companies cannot directly create bookings through this interface
  • This page is for viewing and managing existing bookings only

Status Changes

  • Status can be updated by the business at any time
  • Customers may receive notifications when status changes

Payment Integration

  • Payment status is linked to the Payments page
  • Clicking on payment details navigates to payment information

Notes

  • Bookings are distinct from Room Rentings (which are for venue/room reservations)
  • Each booking is tied to a specific event
  • Booking data includes participant information for attendance tracking
  • Historical booking data is preserved even if events are deleted

  • Events - Create and manage events that can be booked
  • Payments - View payment details for bookings
  • Invoices - Generate and manage invoices
  • Participants - Track participant attendance
